System Setup and Configuration

Once your program is designed, we configure The Proximity System™, our proprietary uniform management software, to match every detail.

Your system is built with your specific departments, job roles, and approval workflows. Each role sees only the items they’re authorized to order. Allowances are set per employee, per cycle, so budget controls are automatic. Product catalogs are curated to show exactly the right options, nothing more, nothing less.

If you need manager approvals before orders are processed, we build that in. If certain locations require different items, we handle that too. The system adapts to your rules, not the other way around.

Employee Onboarding

When your program goes live, each employee receives their own login credentials to The Proximity System™. They log in, see the items approved for their role, select their sizes, and place their first order.

There’s no guesswork. Employees can’t order items outside their role or exceed their allowance. The interface is straightforward; most employees complete their first order in minutes. For organizations onboarding large groups at once, we support bulk setup to get your employees into the system quickly.

Customization and Fulfillment

Once orders are placed, our in-house customization team gets to work. Unitec handles all branding internally. Embroidery, screen printing, heat sealing, emblems, and tailoring are all done under our roof in Westminster, Maryland.

Keeping customization in-house means faster turnaround, tighter quality control, and none of the delays that come with outsourcing to third-party decorators. We can even handle custom manufacturing for specialized garments that off-the-shelf options don’t cover.

Every finished item is individually bagged and labeled with the employee’s name. Orders aren’t shipped in bulk bins that someone at your facility has to sort through. They’re packed and ready to distribute to each person.

Distribution and Delivery

Finished orders are shipped wherever you need them: your headquarters, regional offices, job sites, or directly to employee homes. Our zero-sort delivery model means packages arrive pre-sorted by employee. The person receiving the shipment hands out labeled bags. That’s it.

For organizations with multiple locations, we coordinate distribution across every site, so each facility gets exactly what it needs, when it needs it.

Ongoing Management

Your uniform program doesn’t end at delivery. Through The Proximity System™, you have real-time visibility into spending, inventory levels, order history, and employee activity across every department and location.
Your dedicated account manager stays with you for the life of the program, handling reorders, seasonal adjustments, new hire onboarding, and any changes to your catalog or allowance structure. When your workforce shifts, your uniform program shifts with it.
