When uniform entitlements are written into a collective bargaining agreement, they are not suggestions. They are contractual obligations. Employers must issue exactly what the CBA specifies, track what every union employee receives, and prove compliance when asked. For organizations managing hundreds or thousands of union employees across multiple bargaining units, this is one of the most administratively demanding aspects of workforce management.
Unitec Distribution Systems provides managed uniform programs with built-in CBA compliance through The Proximity System™, our proprietary tracking platform. We have managed uniform programs for 425+ companies, many of which have operated under one or more collective bargaining agreements. The system was designed to handle the exact complexities that make union uniform compliance difficult.
Most organizations track union uniform allocatons using spreadsheets, paper logs, or disconnected purchasing records. The problems with this approach are predictable and persistent:
The Proximity System™ is Unitec’s proprietary software platform that manages every aspect of uniform allowance management, issuance, and tracking at the individual employee level. For union environments, it functions as an automated compliance engine.
Collective bargaining agreements vary widely, but The Proximity System™ is configured to enforce the most common, and the most complex, uniform entitlement structures:
The Proximity System™ generates the documentation that union compliance demands, without requiring your team to compile it manually.
Yes. When a memorandum of understanding or contract amendment changes uniform entitlements, whether adding new items, adjusting quantities, or modifying issuance schedules, the system configuration is updated to reflect the new terms. Changes can be applied going forward or retroactively to the current allocation period, depending on what the agreement specifies. A record of the previous configuration is retained so historical reporting remains accurate under the rules that were in effect at the time.
Employee profiles can be updated when classifications or bargaining unit membership changes. The system closes out the allocation associated with the previous classification and provisions the new entitlement based on the destination unit’s CBA. If the agreement requires prorating the new allocation based on the transfer date, the system calculates that automatically. The full history, including what was issued under the prior classification, remains in the employee’s record.
Access levels are configurable based on your organization’s preferences and any access provisions in the CBA. Some clients provide access to union representatives so they can verify individual member issuance records and allowance balances. Others prefer to generate reports on request. Either approach is supported, and access permissions can be scoped to specific bargaining units so representatives see only their members’ data.
The system provides an immediate, definitive answer. Pulling up the employee’s order history shows every item that was ordered, the date it was delivered, and the allocation period it was charged against. If the employee did receive their full entitlement, the record demonstrates that clearly. If there is a legitimate gap, the record shows exactly what is still owed. In either case, the dispute is resolved with data rather than conflicting recollections, which is better for both the employer and the employee.
Union uniform compliance does not need to consume hours of administrative time or generate avoidable grievances. Unitec has managed uniform programs under collective bargaining agreements for decades, and The Proximity System™ was built to handle exactly this challenge.
